How to send a document for signature

Sending a document for signature is a three-step process.

Step 1: Upload your document

Go to maxsign.app/send and drag your PDF onto the upload area, or click "Choose PDF" to browse. MaxSign accepts PDFs up to 20MB.

Once your file is uploaded, you will see a confirmation and move automatically to the next step.

Step 2: Place signature fields

You will see a preview of your document. On the left side, choose a field type:

  • Signature — a full signature drawn or typed by the signer
  • Initials — initials only
  • Date — automatically filled with the signing date
  • Text — free-form text entry

Click anywhere on the document preview to place the selected field. Click the X on any placed field to remove it. You can place as many fields as needed.

When you are satisfied with the field placement, click Continue to Send.

Step 3: Enter signer details and send

Fill in:

  • Your name and email address (you will receive notifications here)
  • The signer's name and email address
  • An optional personal message
  • Link expiry (7, 14, or 30 days)

Click Send for signature. The signer receives an email immediately with a secure link to sign.

What your signer sees

Your signer receives a simple, professional email.

The email includes your name, the document name, your optional message, and a prominent button: Review and Sign.

No account is required. The signer clicks the button and is taken directly to the signing page.

On the signing page

The signer sees the full document with each field you placed highlighted. A progress indicator shows how many fields remain.

  • Signature or Initials fields — a modal appears allowing the signer to draw their signature with a finger or mouse, or type their name in a stylized signature font.
  • Date fields — automatically filled with today's date.
  • Text fields — a keyboard prompt appears for free text entry.

Once all fields are filled, the Sign Document button becomes active. The signer taps it to finalize.

After signing

The signer sees a confirmation screen and can download the signed PDF immediately. You receive an email notification with a link to your dashboard to download your copy.

Downloading your signed document

Signed documents are available immediately after the signer completes signing.

From your dashboard

Go to maxsign.app/dashboard and sign in with your email. You will receive a 6-digit code by email. Enter the code to access your dashboard.

Your dashboard lists every document you have sent. Documents with a SIGNED badge have a Download button. Click it to download the signed PDF.

What is in the signed PDF?

The signed PDF contains:

  • All signature images or typed signatures stamped directly onto the document pages at the exact field positions you specified
  • All date and text fields filled in

The signed PDF is a standard PDF that opens in any PDF viewer.

Audit trail

Alongside the signed PDF, MaxSign maintains a timestamped audit log recording:

  • When the document was created and sent
  • When the signer first viewed the document
  • When the document was signed, including the signer's IP address

This audit trail is what makes MaxSign signatures legally binding.
